Privacy Policy

This policy explains what information VigilantEye Monitoring LLC ("we," "us") collects from clients, site visitors, and members of the public, how we use and protect it, and the choices you have — including how we use your phone number if you receive text messages from us. It covers the video, license plate, and case data generated by our monitoring services, along with this website and our client portal.

1. Information we collect

Site monitoring data. Video, images, and — at sites where it's part of the service — license plate reads and access-control events, captured by cameras and sensors at monitored properties.

Environmental & industrial sensor data. At sites where it's part of the service, readings and alerts from temperature, water/flood, humidity, power-loss, vibration, tank-level, and similar non-video sensors.

Case and incident data. Records our operators create when reviewing an event: timestamps, what was observed, actions taken (a talk-down, a call to police, a case opened), and any evidence attached to that case.

Account and contact information. Name, company, email, mailing address, and phone number, provided when you become a client, submit a report, request service, book a visit, or contact us.

Payment information. Billing is processed by Stripe, our payment processor. We do not receive or store your full card number — see Section 7.

Communications. Records of calls, emails, and text messages between you and VigilantEye Monitoring, including support requests and service notifications.

Website usage & cookies. We use Google Analytics on our public marketing pages to understand aggregate traffic (like which pages are visited and roughly how many people visit) — it sets cookies and collects data such as IP address, browser, and device type. This runs only on our public site, never inside the client portal, ops tools, or anywhere monitoring/case data lives. We do not use third-party advertising trackers, and we do not sell or share this data for ad targeting.

2. How we use information
  • Deliver monitoring, verify events, and respond to alarms at your site
  • Create and maintain case files and incident reports
  • Bill for service and manage your account
  • Respond to service, support, and CrimeSave report submissions
  • Send appointment confirmations, service alerts, and account or billing notices — by email, phone, or text
  • Meet legal, insurance, or law-enforcement obligations described below

We do not use your monitoring data to build advertising profiles, and we do not sell it.

3. License plate & recognition data

Where a site uses license plate reading or recognition, it runs against watchlists the property owner defines — for that property, not a shared regional or national lookup network. A plate read is only reviewed by a person when it matches a defined watchlist entry or is part of an active case; it isn't used to build a movement history on people who haven't triggered a match.

Plate and recognition data is retained on the schedule set in your service agreement (typically 30 days for unmatched reads) and then purged automatically, except where it's part of an active case file.

4. How we share information

We share information only in these circumstances:

  • Law enforcement — in response to a lawful request (subpoena, warrant, or court order), or where we believe in good faith there is an imminent risk to life or safety
  • Service providers — companies that process data on our behalf, each bound to use it only to provide their service to us:
    • Supabase — database and account hosting for case files, site records, and portal logins
    • Dialpad — sends and receives our text messages and business calls
    • Stripe — payment processing and billing (Section 7)
    • Resend — delivers transactional emails (confirmations, welcome emails, reports)
    • Formspree — processes our contact and booking web forms
    • Cloudflare — hosts this website and our email/DNS infrastructure
    • Google Analytics — aggregate website traffic statistics on our public pages only (see Section 1)
    • Milestone XProtect — the video management platform our monitoring center uses to view and record camera feeds
  • Subcontracted installers — technicians we bring in for installation or service work, bound by the same confidentiality obligations as our staff
  • You direct us to — for example, sharing a case report with your insurer or attorney at your request

We do not sell personal information or monitoring data, and we do not share it with data brokers or advertisers. Text messaging opt-in data and consent are never shared with any third party — see Section 6.

5. Data retention

Video and plate/recognition data is retained on the schedule in your service agreement, then deleted, except where it's attached to an open case, a legal hold, or a documented request from you or law enforcement. Case files, once opened, are kept as a business record for at least seven years after the case closes, and longer where a legal hold applies. Account and billing records are kept as long as needed for tax, accounting, and legal purposes.

6. Text message (SMS) communications

We use Dialpad to send and receive text messages for VigilantEye Monitoring's own business numbers — 407-544-6344 (operations) and 1-855-493-0911 (CrimeSave). If you provide your mobile phone number to us, you may receive text messages related to:

  • Appointment confirmations and reminders for a booked visit or service call
  • Monitoring or service alerts about your site
  • Billing and account notices
  • Responses to a report, service request, or enquiry you submitted

How you opt in. You opt in to receive texts by giving us your mobile number through one of these channels: our booking form, our contact form, becoming a client and providing a number on your service agreement, or calling 407-544-6344 and giving us a callback number. Each of those forms carries its own text-messaging disclosure at the point you enter your number. We do not purchase, rent, or otherwise acquire phone numbers from any third-party list — every number in our system was given to us directly by the person it belongs to.

Consent. By providing your mobile number to us through any of the channels above, you consent to receive text messages from VigilantEye Monitoring at that number for the purposes listed. Consent to receive texts is not a condition of purchasing any service.

Frequency. Message frequency varies based on your account activity — typically a handful of messages around a booking or an active case, not a recurring campaign. Message and data rates may apply.

Opt out. Reply STOP to any text at any time to stop receiving messages — you'll get one final confirmation text. Reply START to resume. Reply HELP, or contact us at 407-544-6344 or info@vigilanteyemonitoring.com, for help at any time.

No sharing for marketing. No mobile information — including your phone number, opt-in status, or consent — is shared with any third party or affiliate for their own marketing or promotional purposes. This text messaging originator opt-in data and consent is excluded from all other data-sharing categories described in Section 4 and is never shared with any third party for any purpose other than sending you the messages described above through our messaging provider, Dialpad. Carriers are not liable for delayed or undelivered messages.

7. Payment data & PCI compliance

All card payments are processed by Stripe, a payment processor certified to PCI DSS Level 1 — the highest level of certification in the payments industry. Card numbers are entered directly into Stripe's secure systems; VigilantEye Monitoring's own systems never receive, process, or store your full card number.

8. Data security

We limit access to monitoring and case data to staff who need it to do their jobs, require every employee and subcontractor to sign confidentiality and safety acknowledgments before working on client sites (see our Trust & Transparency page), and use encrypted connections and access-controlled systems to store and transmit data. No system is perfectly secure, and we can't guarantee absolute security, but we take these obligations seriously.

9. Your choices
  • Text messages — opt out any time by replying STOP (Section 6)
  • Marketing email — every marketing email includes an unsubscribe link
  • Your data — contact us to ask what information we hold about you, request a correction, or request deletion where we're not required to keep it (for example, an active case file or a legal/tax record)
10. Children's privacy

Our services are directed at businesses and adults. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will remove it.

11. Changes to this policy

We may update this policy as our services or legal obligations change. We'll update the "Last updated" date above, and post material changes on this page.
